Event Guidelines - The Restaurant at Kokopelli
Booking a date for an event at Kokopelli requires a non-refundable prepayment. Typically, this amount is calculated as follows:
a) amount of the room charge; or
b) 25% of the estimate* for the event
For any event that has been on Kokopelli's Reservation Book for seven (7) days, the prepayment will be used as a cancellation fee. If we are able to book another event after your cancellation, we will refund half the prepayment.
* Your estimate on number of guests will be the guideline on estimating cost, room (or rooms), location, and floor plan. As RSVP's come in to you, please keep us updated. You may change your # estimate up until 72 hours before event day. If you do not contact Kokopelli staff with any changes by this date, the first estimate will be used as the guarantee.
Things to think about before your event:
Any outside vendors** must be approved by the Food and Beverage Director in advance. These may include, but are not limited to, the following:
Wedding Planners
Florists
Photographers
D J's - Musicians, Performers
Cakes - Wedding, Shower, Birthday, Anniversary, or other occasions***
Decorations - candles may be used in tabletop centerpieces only; no materials allowed that could cause damage to walls, ceilings, or moldings. Any decorations from you or your event planner must be removed in a timely manner.
Event Time-Line - normal party functions are based on 2, 4, or 6-hour increments. Additional time will be pro-rated to $100/hour for additional hours.
Room Assignment and Floor-Plan - must be agreed upon prior to event (if possible). Kokopelli staff will be open to any ideas, but from extensive experience, they are qualified in understanding things like access to restrooms, flow between tables, access to dance floor, etc.
** If you need help choosing vendors, our Food and Beverage Director has experience with, and can direct you to many professional individuals and companies. Additional fees may apply if we are responsible for obtaining outside vendors for your event.
*** We have an excellent Cake Designer/Baker, with pricing as follows:
Wedding Cake - $3.50 per person
Sheet Cake - (For birthdays, anniversaries, or as extra for weddings) - $2.25 per person
Outside Vendor Cakes - no charge from us if you cut and serve it on your plates & cutlery
Cake Service Only - $1.50 per person (cutting, serving, clean-up, and boxing up leftovers)
Full payment is due at the conclusion of the event. If other arrangements are necessary, please make them with the F & B Director before the event. Payment may be made by cash, check, or credit card. Prices are subject to market fluctuations, and are subject to change, especially with reservations made more than six months in advance. To lock in current market prices, you must pay in full at the time you make the reservation.
